Count stock and fix differences without guessing

When the shelf and the system disagree, find out why before you correct anything. Here's how to count, correct and trace a number.

Count when the shop is quiet

Sales you make while counting change what the system expects, so pick a quiet time. Start a count under Inventory, then Counts, and choose the outlet.

Enter what you find

For each product, type what's actually on the shelf. You can save and come back later. Nothing changes until you approve the count.

Review, then approve or cancel

Look through the differences. If they look right, choose Approve and adjust stock. If they don't, cancel the count and nothing changes.

Finding out why a number is wrong

Stock only moves through a sale, refund, goods received note, return, adjustment, transfer, count or production run. Open the product's stock card to see every movement, the balance after it and who made it. The history report shows the same across your outlets. If a movement was missed, record it, then count again.

If you can't adjust stock yourself

Not everyone is allowed to change stock. If you can't, choose Ask for a correction and say what the number should be. Everyone who can adjust stock gets a notification, and they fix it under Adjustments.

A few tips

  • Count one outlet at a time.
  • Check the safety level on each product first, so you know what's low before you start.
  • After you approve, the count stays on record with the movements it made and who approved it.

Questions people ask

Can a count be undone?

An approved count adds stock movements, and they stay in the history. To correct one, make an adjustment with a reason, so the record shows both.

Who can approve a count?

People whose role allows counting. You set permissions role by role.
